Accessible car rental at CLT: what to confirm before you fly

Plan an accessible car rental at CLT with at least 48 hours’ notice, specific questions for your supplier and a pickup route that fits your needs.

You’ve found a rental car for your Charlotte trip, but will it actually work for you or your travel companion? For an accessible car rental at CLT, the useful next step is to confirm your needs with the rental company before you fly. The airport says rental agencies request at least 48 hours’ advance notice for accessible rentals.

CLT’s accessibility page says accessible rental cars are available from rental agencies at no additional cost. That isn’t a free rental, and the airport’s brief guidance doesn’t spell out which vehicles or adaptations each supplier offers. Ask your chosen company to explain what it can provide and confirm any charges associated with your particular request.

Make that conversation specific. Explain whether you’ll drive or ride as a passenger, whether you’ll transfer into a vehicle seat and what mobility equipment needs to travel with you. Have your mobility aid’s dimensions ready, including its folded size if applicable. Ask the company to confirm a suitable setup rather than relying on a vehicle photo or a broad label such as “SUV.”

Keep the vehicle reservation and the accessibility request connected. Ask whether the local CLT branch has received your requirements, what remains subject to availability and whom to contact if your flight changes. Save the written response alongside your reservation details. ROAM provides guidance, not reservations or payments; bookings happen on Booking.com.

Plan the route to pickup, too. CLT’s current rental-car directions send you from Arrivals/Baggage Claim to the Lower Level Walkway by escalator or elevator, then by elevator to the Level 2 lobby of the Hourly Deck. If you need assistance along that route, ask your rental company and the airport about arrangements before arrival rather than assuming someone will meet you.

At pickup, check the actual vehicle against the needs you discussed before loading everything or leaving the facility. Confirm that you can enter and exit, that your mobility equipment fits and that you understand any unfamiliar controls. A reservation labeled with a model “or similar” isn’t a reason to skip that check.

If the car doesn’t meet the agreed requirements, speak with the rental representative before accepting it. Show your saved confirmation, explain the specific mismatch and ask what suitable alternative or next step is available. Having the local contact and your requirements ready gives you a clearer starting point than trying to solve it all at the counter.
